About this policy

This policy explains how Four Media Pte Ltd (UEN: 200506648Z) (“Four Media”, “we”, “us”) collects, uses, discloses and protects personal data. We follow Singapore’s Personal Data Protection Act 2012 (PDPA).

It covers our website, 4media.com.sg, and any enquiry, project, event or other dealing you have with us.

When you give us your personal data, you consent to us collecting, using and disclosing it for the purposes in this policy. You can withdraw that consent at any time (see Your rights).

Personal data we collect

We collect only what we need for the purposes in this policy.

  • Enquiries: your name, company, job title, email, phone number, the service you are interested in and your message. This comes from our contact form, email, phone calls and WhatsApp.
  • Clients: contact and billing details of your team, plus data you share so we can deliver a project. Examples are campaign contact lists, event guest lists, social media account access and documents for grant applications.
  • Events: registration details, and photos or videos taken at events we organise.
  • Job applicants: the details in your CV and any interview notes.
  • Website use: your IP address, device and browser type, pages viewed, the site or ad that referred you, and your approximate location. This is collected through cookies and similar technologies (see Cookies, analytics and advertising).

When we handle personal data on a client’s instructions, we act on the client’s behalf and follow their directions as well as the PDPA.

How we use your personal data

We use personal data to:

  1. Reply to your enquiry and send proposals or quotations.
  2. Plan, deliver and manage the services you engage us for.
  3. Prepare and submit grant applications and claims to government agencies, such as Enterprise Singapore, on a client’s instructions.
  4. Manage our client relationship, contracts, invoicing and payments.
  5. Organise and run events, and share event photos and videos.
  6. Send you marketing updates, where you have agreed to receive them.
  7. Measure and improve our website and advertising.
  8. Keep our website secure and filter out spam and fraudulent submissions.
  9. Assess job applications.
  10. Meet legal, regulatory and accounting requirements, and respond to lawful requests from authorities.

If we want to use your data for a new purpose, we will tell you and ask for your consent where required.

Cookies, analytics and advertising

Cookies are small files stored by your browser. We and our partners use them, and similar technologies, for the following.

  • Google Tag Manager: manages the tracking tags on our site. It does not collect personal data on its own.
  • Google Analytics: shows us how visitors find and use our website, so we can improve it.
  • Google Ads conversion tracking: tells us which ads lead to enquiries, calls or WhatsApp messages.
  • Remarketing: lets us show our ads to people who have visited our website, on Google and partner sites.
  • Other platforms: where we advertise on platforms such as Meta or LinkedIn, we may use their tracking tags for the same purposes.

Enhanced conversions. When you submit our enquiry form, your email address and phone number may be hashed. Hashing turns them into a one-way code. We share the hashed data with Google to match your enquiry to an ad you clicked. Google uses it to measure our ad results on our behalf.

Your choices:

Who we share it with

We do not sell personal data. We share it only as needed for the purposes above, with:

  • Service providers who host our website, email, files and systems, or who support our IT, analytics and payments. They act on our instructions under contract.
  • Advertising and analytics platforms, such as Google, as described under Cookies, analytics and advertising.
  • Project partners, such as media owners, printers, venues, content creators, KOLs and platforms in your target markets, when a project needs them.
  • Government agencies, such as Enterprise Singapore, when we submit grant applications or claims on a client’s instructions.
  • Our offices in the region, where they help deliver a project.
  • Professional advisers and auditors, and authorities when the law requires it.
  • A buyer or successor, if all or part of our business is sold or restructured.

Overseas transfers. Some providers, including Google, may store or process data outside Singapore. Cross-border campaigns may also involve partners in overseas markets such as China. When we transfer data overseas, we take steps, such as contractual terms, to make sure it gets protection comparable to the PDPA.

How long we keep it and how we protect it

We keep personal data only as long as we need it for the purpose it was collected, or as the law requires. For example, we keep accounting and grant records for the periods set by law or by the grant’s terms. When we no longer need the data, we delete it or make it anonymous.

We protect personal data with reasonable security measures. These include encrypted connections to our website, access limited to staff who need it, password-protected systems, and confidentiality terms with staff and providers. No system is completely secure, so we cannot guarantee absolute security.

If a data breach is likely to cause you significant harm, we will notify you and the Personal Data Protection Commission (PDPC) as the PDPA requires.

Your rights

You can ask our Data Protection Officer to:

  • Access the personal data we hold about you, and learn how it was used or disclosed in the past year.
  • Correct personal data that is wrong or incomplete.
  • Withdraw consent for us to collect, use or disclose your personal data.

We may ask you to verify your identity first. We may charge a reasonable fee for an access request, and will tell you the amount before we proceed.

We aim to respond within 30 days. If we need longer, we will tell you when to expect our reply.

If you withdraw consent, we will tell you what this means for you. For example, we may no longer be able to provide a service. Withdrawing consent does not affect data we must keep by law.

Marketing messages

We send newsletters, event invitations and marketing insights only to people who have agreed to receive them.

You can unsubscribe at any time with the link in our emails, or by contacting us. Before we send marketing calls, texts or WhatsApp messages to a Singapore number, we comply with the PDPA’s Do Not Call rules.
